Payroll / Benefits Coordinator

Our client is seeking a Payroll/Benefits Coordinator to manage payroll and employee benefits for their firm. This role is crucial in ensuring accurate weekly payroll processing for 60 employees as well as administering its employee benefits program and providing excellent service to employees regarding payroll and benefits inquiries. This is a Direct-Hire position, starting out part time (3 days per week) and upon a successful 90-day probationary period, will become full time and offer benefits. If you have payroll experience, solid knowledge of local, state, and federal payroll regulations and employee benefits, and are proficient with payroll software programs, we'd love to meet you!

Job Description

KEY RESPONSIBILITIES OF THE PAYROLL / BENEFITS COORDINATOR

Payroll Administration:

  • Process and administer weekly payrolls ensuring accuracy and compliance with state and federal laws.
  • Maintain payroll records, including timesheets, wage adjustments, deductions, and garnishments
  • Ensure timely and accurate submission of payroll taxes and filings
  • Prepare payroll reports for management and audit purposes

Benefits Administration:

  • Administer employee benefits programs, including health insurance, retirement plans, and other voluntary benefits.
  • Coordinate annual open enrollment for benefits, assisting employees with plan selections and enrollment procedures.
  • Maintain and update employee benefits records in the HRIS and benefits management systems.
  • Act as a liaison between employees and benefits providers to resolve issues and answer questions


Employee Support:

  • Provide excellent customer service to employees regarding payroll and benefits inquiries
  • Conduct employee orientations and explain benefits programs and payroll processes
  • Assist employees with claims issues, plan changes, and other benefits-related matters.


Compliance and Reporting:

  • Stay updated on changes in payroll and benefits laws and regulations in California and ensure compliance
  • Prepare and file required reports with federal, state, and local agencies
  • Conduct regular audits of payroll, benefits, and HR systems to ensure accuracy and compliance
  • Maintain and update payroll and HRIS systems, ensuring data integrity

 

POSITION REQUIREMENTS – KNOWLEDGE, SKILLS & ABILITIES

  • Demonstrated payroll experience
  • Solid knowledge of local, state, and federal payroll regulations
  • Proficient with payroll software (Sage 100 is preferred), HRIS systems, and Microsoft Office
  • Effective communication and interpersonal skills
  • Valid CA driver's license
  • Ability to provide verifiable employment references

 

PREFERRED QUALIFICATIONS

  • Bachelor’s Degree in HR, Business Administration, Accounting, or related field is strongly preferred
  • Bilingual fluency in English and Spanish

 

STARTING PAY RANGE  $25 - $30 per hour
