The Office Assistant is responsible for scheduling meetings and appointments, making travel arrangements, scanning and filing electronic documents, purchasing and stocking office supplies, preparing payroll, processing employee timesheets, bill entry and receiving payments in QuickBooks, filing monthly excise tax returns, employment security reports, L&I reports, IRS reports, controlling correspondences, and providing general administrative support to our employees. The Office Assistant will also provide assistance in production of sales presentations and reports, process invoices and payments, credit card expenses. Assisting with website management will be a plus.
Duties & Responsibilities
- Serve as the office lead for:
- Office Supplies and Mailing
- Process Bills, Invoices, and Payments
- Payroll
- Monthly reports (excise tax, employment security, L&I, etc.)
- Schedule meetings and appointments
- Maintain the office condition and arrange necessary repairs
- Partner with Management to update and maintain office policies, as necessary
- Organize office operations and procedures
- Provide general support for visitors
- Plan in-house or off-site activities, like events, parties, and conferences
Desired Skills & Experience
Minimum Qualifications
- Proficient in QuickBooks
- AP/Accounting background
- Proficiency in MS Office Suite (MS Excel, MS Word, MS Outlook, Adobe)
- Hands on experience with office machines (e.g. printers)
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
